How it works

A short guide to PodoCard: how to add a client, record a visit, sign a consent and pay for the subscription. Everything described here works the same way in the mobile app and in the web version.

How to use PodoCard

The sections follow the order in which you usually work with a client.

Section 01

Sign-up and login

One account for everything: wherever you sign up, it works both in the app and in the browser.

  • What sign-up needs. First name, last name, e-mail and a password of at least 8 characters. The phone number and the account language are optional — the language can be changed later in the settings.
  • The code from the letter. A nine-digit code is sent to the address you entered. Enter it right away: the sign-up request is kept for 10 minutes, after that the code stops working — then simply sign up again and get a new one.
  • Trial period. Right after confirmation you get 7 days of full access; those who came through an educator's partner link get 30 days. The banner at the top shows how many days are left.
  • Forgotten password. On the login page click “Forgot password?”: a code is sent to your e-mail (the letter can be resent), and then you set a new password.
  • Language of e-mails. Letters arrive in your account language — Ukrainian, Russian, English, Polish or German.
Section 02

Dashboard and search

The first thing you see after logging in is a summary of your practice over the recent weeks.

  • Counters. How many clients and staff members the company has, and how many visits there were this week and last week.
  • Search. The dashboard search box finds clients by name, phone and e-mail and opens the card in one click.
  • Reminders. Separate cards: clients without signed consents, birthdays this week and those who have not visited for a while (30 days or more by default).
  • Trends. A chart of visits for the last 12 weeks; the owner also sees visits broken down by staff member.
  • Statistics. The owner and the manager get a separate section: the client base by gender and age, plus analytics of what visits contain over a chosen period, filtered by specialist.
Section 03

Clients and the client card

The client card replaces the paper one: contacts, visit history, photos, files and health details.

  • A new client. Only the first and last name are required. Then come the middle name, gender, date of birth and contacts: e-mail, phone, occupation, Telegram, Instagram.
  • Search. The list starts searching from two characters, so the beginning of a surname is enough.
  • Four tabs. “Visits”, “Gallery”, “Files” and “Details” — everything about the client in one place.
  • Health details. 14 checkboxes: heart disease, blood clotting disorders, high and low blood pressure, varicose veins, infectious, viral and skin diseases, oncology, epilepsy, diabetes, overweight, HIV and hepatitis. Next to them — foot size and notes.
  • Files. A tab for attachments outside visits — referrals, medical reports, scans: up to 50 files per client. In the web version you can drag them into the tab with the mouse.
  • Client contacts. A specialist does not see them: they work with visits, while phone numbers and e-mails are visible to the owner, the manager and the administrator.
Section 04

The visit: what gets recorded

A visit is the procedure card. The set of sections is the same in the app and in the web version.

  • Six sections. Feet, toes, fingers, correction systems, photos and conclusion. In the web version the table of contents on the left shows the status of every section, and each one is saved by its own button.
  • Feet. On the scheme you mark corns, cracks, warts, keratosis and calluses, and next to it the condition: pedicure, coating, dry skin, hyperhidrosis, longitudinal and transverse flat foot, hollow foot, valgus deformity, keratosis, mycosis and more.
  • Toes and fingers. For every digit you mark onycholysis, onychocryptosis, onychomycosis, onychodystrophy, deformation, hematoma or a corn and add a short note.
  • Correction systems. Ten systems to choose from: UniBrace, titanium wire (Nitinol), 3TO, Fraser, ORA, Snake, nail prosthetics, COMBIped, Podofix and B/S. Every installation has its digit, its state and a note — the diameter, for example.
  • Photos and conclusion. Photos are attached to the visit and saved as soon as they are uploaded, and the conclusion holds up to 10,000 characters.
  • Who can edit. Only the specialist who created the visit can change it; for the rest of the team it opens in view mode.
Section 06

Consents and documents

No paper forms needed: the client signs on the screen and the PDF stays in their card.

  • Two standard forms. Consent to services and consent to photo documentation — both are filled in with the client's data automatically.
  • Your own texts. In the “Documents” section the owner or the manager can switch on custom consent texts — they go into the PDF instead of the standard ones.
  • Form language. It is set separately from the interface language; eight are available: Ukrainian, English, Russian, Polish, German, Georgian, Kazakh and Spanish.
  • Signature. The client signs right on the screen, the signature is embedded into the PDF, and the document is stored in the card with the signing date. If the client has an e-mail, a copy is sent to them automatically.
  • Who can download. The signed document is available to the owner and the administrator; a blank form can be opened by any staff member — so there is something to show the client before signing.

Section 07

Team and roles

Staff members share the same client base, and the role defines what each of them can do.

  • When it is available. Staff members come with the Team plan and during the trial period; on Pro only the owner works in the account. Staff are added by the owner, and a manager adds administrators and specialists.
  • Owner. Full access: plan and payments, clinic details, all staff and clients.
  • Manager. Runs the branch: adds and edits administrators and specialists, works with clients.
  • Administrator. Responsible for appointments: keeps client cards, visits, photos and consents.
  • Specialist. Provides services: works with visits and fills in the procedure card. Client contacts are hidden.
  • How to add a staff member. In the app: “Settings” → “Employees” → the round “+” button in the bottom right corner. In the web version: the “Employees” item in the left menu → the “Add employee” button; in the browser this section is open to the owner. Fill in the first and last name, e-mail, phone and position, pick a role and save — the password is generated by the system.
  • What arrives by e-mail. The staff member immediately gets the letter “You have been invited to join a team in the PodoCard app”: who invited them, with which role and a nine-digit password to sign in. The letter comes in the language of the person who added them. If there is no letter — ask them to check the “Spam” folder or resend it with the button next to the staff member in the web version (while they have never signed in); a new password is issued then and the previous one stops working.
  • How the staff member signs in. No separate registration or e-mail confirmation is needed: they install the app or open the web version and sign in with their e-mail and the password from the letter. The password from the letter is changed on the login page via “Forgot password?”. When the staff member signs in for the first time, the owner gets a letter about it.
  • Switching a staff member off. The toggle in the list closes their access while their records stay with the company; they can be switched back on with the Team plan.
  • Moving to Pro. When Pro is activated, everyone in the company except the owner is switched off — after returning to Team they can be switched on again.
  • Colleagues' visits. Records are visible to the whole team, but a visit is edited only by its author — so the history is not rewritten after the fact.
Section 08

Plan, payment and renewal

One subscription for the app and the web version: pay in one place and it works everywhere.

  • Who pays. The plan is chosen and renewed by the company owner — in the “Plans and payment” section.
  • Period. Payment for 1 or 12 months; a year costs less — a 30% discount.
  • Payment method. Payment goes only through the web version — by bank card via WayForPay in the “Plans and payment” section. The mobile apps have no payment, but a paid subscription works in them right away.
  • Auto-renewal. It can be switched off at any time: the charges stop and access remains until the end of the paid period.
  • When the period is over. Work is blocked until payment, but the data stays in place — after renewal you continue right where you left off.

Section 09

Settings, language and sync

The profile and the language are set once and apply on every device.

  • The same data everywhere. The app and the web version share one database: a client added on the phone shows up in the browser right away — nothing has to be transferred.
  • Interface language. Five languages: Ukrainian, Russian, English, Polish and German. The choice is stored in the profile and applies on all devices.
  • Profile. First name, last name, phone, position and photo; the owner also changes the company name here. A new e-mail is confirmed with a code from a letter — until the code is entered the old address stays.
  • Deleting the account. It is confirmed by typing the word “DELETE”. For an owner the whole company is blocked immediately, and after 7 days the data is deleted permanently — if you change your mind, write to support within that time.
Section 10

If something goes wrong

Most questions are solved in a couple of minutes — here is where to look first.

  • Branch ID. The “Support” section shows the unique number of your company with a copy button — tell it to the support agent and your question is solved faster.
  • Where to write. Telegram, WhatsApp or support@podocard.com — the buttons are in the same section.
  • The letter does not arrive. Check the “Spam” folder and the address: the sign-up code lives for 10 minutes, and the password recovery code can be resent.
  • The visit was not saved. In the web version each visit section has its own “Save” button: it appears when there are changes, and PodoCard warns you if you leave the page without saving.

Top Questions

Do I have to install anything?

No. Open the web version in a browser and log in — it is the same program with the same data. On a phone the app from the App Store or Google Play is more convenient.

Is the data in the app and in the browser different?

It is the same. The login is shared: everything added from the phone is immediately available in the browser, and the other way round.

Can I work together with an assistant?

Yes, on the Team plan: the owner adds staff members and assigns a role to each of them. A specialist does not see client contacts, and a visit can be edited only by its author.

Where are client photos stored?

In the client card, attached to the visit and its date — not in the phone gallery. Two to four photos can be turned into a before/after collage and saved as a JPG.

Is there customer support if I have questions?

Absolutely. Our support team is always available — you can access contact options directly from the app

What happens to my data if I don’t renew my subscription?

Your data is retained for two months after the trial period and for two years after you cancel your subscription, so you can restore access if you resume your subscription. You’ll also receive an advance email notification before deactivation
